KendollMade Rental Terms & Conditions
Pricing and Reservations
KendollMade tentatively holds pricing and guarantees product availability for 14 days from the proposal date. If a 30% non refundable retainer is not received within this period, availability cannot be guaranteed. All rental prices are non-negotiable.
For quotes provided within 30 days of an event, items are reserved for 48 hours. If full payment is not received within that timeframe, the order will be considered void, and items will be released back into inventory.
Rental Dates
Rental orders are preferred to be picked up on Thursdays and returned on Monday or Tuesday 9am-3pm. If these dates and times do not work we can schedule different dates/times. All rentals are due back at the agreed-upon time stated on the invoice.
- Special arrangements may be made upon request, but additional rental fees may apply if prior approval is not obtained.
- If items are not returned as stated on the invoice an additional $25 per day fee will be charged to the card on file
Required Deposit & Paperwork
All rentals and service agreements require:
- A 30% non refundable retainer at the time of booking to reserve your date & items.
- A signed Rental Terms and Conditions Agreement.
- A signed Card Authorization Form.
- Final payment due 30 days prior to the event.
- Substitutions and final counts also due 30 days before the event.
Any changes made within 30 days of the event may only be add-ons at the current rental price. Removals of items will not be refunded.
Delivery & Pickup Fees
- Warehouse will-call pickups are always free.
- Standard delivery fee: $175.00 plus round-trip mileage.
- Standard pickup fee: $175.00 plus round-trip mileage.
- Evening pickups (after 10:00 PM): Additional $175.00.
Standard Mileage Fees for Event Rentals:
- Flat rate for local deliveries (0-10 miles): Included in the standard delivery fee
- Longer distances (10-30 miles): standard deliver fee + $3.50 per mile round-trip.
- Longer distances (31-49 miles): standard deliver fee + $4.50 per mile round-trip.
- Extended distances (50+ miles): standard delivery fee + $5.00 per mile round-trip
- Rural or difficult access locations: Higher fees may apply $6.00+ per mile round-trip if travel is more time-consuming.
If you are needing delivery a separate invoice will need to be created and signed.
Pickup & Return Responsibilities:
- Items must be gathered and stored in a secure, weather-protected location before pickup.
- Items must be in one central location for KendollMade’s team to load after the event.
- If items are not ready or inaccessible, an additional rental day fee will be charged.
- The renter is responsible for coordinating with the venue to ensure the pickup process is smooth.
- If setup or teardown services were not purchased, the renter is responsible for breaking down tables and chairs and ensuring all items are returned to their original containers.
- All rental items, including vases, containers, and packing materials, must be returned. Fees will be assessed for missing or damaged items.
Round Trip Delivery
- Delivery/Pickup fees are listed above
- Additional trips due to client requests or separate ceremony/reception locations will result in additional charges.
- A responsible party (21 years or older) must be present upon delivery to sign for the items.
Extended Load-In/Out & Non-Standard Deliveries
- Standard delivery includes drop-off at the lowest level of the venue.
- Deliveries requiring additional labor (elevators, stairs, long distances, etc.) must be arranged in advance. Additional charges may apply (starting at $50.00).
Return Pick-up & Late Returns
- Items must be accessible upon pickup. If not, additional rental and trip fees will be charged.
- If items are not returned within two (2) days, replacement fees will be charged in addition to rental fees. No refunds will be issued.
Setup & Breakdown Fees
KendollMade Setup Service
This fee includes:
- Setup or installation of rented items.
- Decorations only provided by KendollMade.
- Setup fees do not include breakdown, cleanup, or removal. A separate teardown service is available for an additional fee.
Client Set-up Responsibilities
If you opt to set up items yourself:
- All items must be repacked in their proper containers before return.
- All items must be free of debris and liquids (e.g., candles, vases, pedestals).
- Water must be emptied from all vases before returning.
Damage & Missing Items
Renter assumes full responsibility for all items upon pickup or delivery and agrees to pay for any lost or damaged items.
Linens
- If linens are damaged or stained beyond normal use (wax stains, ink, oil, burns, tears), the renter will be billed for the replacement cost.
- All candles must be in glass containers or placed on a protective surface to prevent wax damage.
Lighting & Candle Use
- Candles are not included with rentals.
- Only dripless or battery-operated candles may be used with rented candle holders.
- A cleanup fee will be assessed if candle holders are returned with wax residue.
Cleaning & Self-Cleanup
- All rental items must be returned free of debris and liquids.
- Catering items must be at least wiped clean before returning.
- If items are returned excessively dirty, a cleaning fee will be charged.
Payment Terms
- Accepted forms of payment: Cash or credit card.
- Late payments (14 days before event): May result in cancellation.
- Missing/Damaged Items: The renter will be notified within 7 days if items are missing or damaged. Payment is due within 7 days of notification.
Order Changes & Cancellations
- All changes must be made in writing or via email.
- Emails are legally binding.
- Substitutions allowed with 14 days' notice.
- Removals within 30 days of the event will be credited towards future rentals, not refunded.
Cancellations
- Payments within 30 days of the event are non-refundable.
- If a special order was placed for your event, you are still contractually obligated to pay for it.
- Consulting fees for planning services remain non-refundable, even if the event is canceled.
Non-Payment & Breach of Contract
- If final payment is not received 13 days before the event, KendollMade will release reserved items and offer them to other clients.
- Failure to communicate or respond may result in forfeiture of prior payments.
Weather-Related Issues
- KendollMade does not issue refunds for inclement weather.
- In the case of bad weather, alternative in-stock items may be offered as substitutions, but no refunds will be given.
Service Guidelines
Outside Decorators
- If outside decorators are used, the client assumes responsibility for any damaged or missing items.
Photography Release
- By signing this agreement, you grant KendollMade permission to use event photos for marketing purposes.
Liability & Safety Disclaimer
- KendollMade is not responsible for any injuries, accidents, or damages that may occur during the use, handling, setup, or breakdown of rented items. This includes, but is not limited to, injuries caused by lifting heavy items, items tipping or falling, breakage during use, or any misuse of rentals.
- It is the client’s responsibility to ensure all items are used in a safe and appropriate manner. Children should not handle or play near any rented items without adult supervision. We strongly recommend that the client obtain event insurance to cover any potential injuries or damages involving themselves, their guests, vendors, or any other individuals present at the event.
- By signing this agreement, the client acknowledges and accepts full responsibility for the safe handling and use of all rented items. The client agrees that KendollMade is not liable for any injuries, damages, or incidents involving the client, their guests, vendors, or any other parties.
Final Terms
- Orders canceled within 30 days are subject to a 50% cancellation fee.
- ALL PAYMENTS WITHIN 30 DAYS ARE NON-REFUNDABLE.
- Client agrees to all Rental Terms and Conditions upon placing an order.
